Most of us use project management software, but we’re not really sure about the differences.  For most people, project management software simply means using some forms and Excel to manipulate a list of tasks and making assignments and people responsible for those tasks.  There is nothing wrong with that and it is still a necessary part of all projects and most projects are big projects.  Many times, when the project is very small, I hear accusations that the project is a “regression” and such things as the need for project standards and management of expectations are all excuses for choosing Project Management software over more manual systems.  Really?  I’m not sure we really want to get into that much detail.  Rather than weaving in and out of this debate, I’ll focus on an important fact that is often lost in the management of projects. Its importance is often overlooked but is really critical to the chairs of most companies quite large and small. Something you can discuss on a PRINCE2 Training course London. Here it is:

We are not managing projects.

I know what you are thinking: “I know what you are saying.  Project management software is a project management function, but what use is that to me?”  Projects must be managed, sure, but when you start a project, it is a different function than managing it once it is completed.  When you go to the end of an assignment, you think you’re done.  You are not really.  I’ve seen many times that it is really at the end that the management is most difficult to initiate and usually here it is a mistake and usually in actuality management was not required at the beginning of the assignment.  The assignment is a stage of broadly highlighted tasks getting done that were created to resolve issues or meet a specific piece of the objectives.  If they succeed in meeting its objectives, the project is an excellent achievement.  My question is what the objectives were and where did they go to the ultimate customer to make sure that the outputs meet expectations?  It is vital that these objectives get to precisely the right person to make good decisions for getting the investment the company thought was justified.

Not only did we learn that we had a project, we learned how to run a project.  We learned how to facilitate one that is specific to a project to ensure that a project is successful.  A project can be successful if and when a clear understanding is reached that the necessary activities create a successful project.  So that they do not go on without purpose or without appropriate stakeholders’ support.

Even when projects are finished successfully, there is still work to be done.  This is done in documented steps that provide step-by-step methods to all involved to produce the end result.  Projects can never be complete, but the step-by-step method assures that they can be completed. The checklist helps organize the necessary documentation in a clear manner.

Developing a successful project is all about educating people to recognize and small issues to be decided on both at the beginning of the project as well as during its existence.  In today’s world, human resources must be able to obey the bureaucracy, the today most necessary task is to make sure these projects get completed.  The remaining parts are how to deal with the actual activities of the project, but not completely walking on an assignment until it is complete.

A project charter is a must for success.  This helps make all the stakeholders, and other decision-makers, conscious of the overall goals of the project, and why the company is pursuing it at the time.  The statement should include expectations of success, overall of the project.  This statement should state all the expectations to all decision-makers in the company handling the project.  Keep in mind that this charter is not a place to “tell” assumptions or any email correspondence that should be gotten out at this point.  It is a place for educating the stakeholder and the people whom the project will affect.

When it comes to a project, your marketing department probably has different things to Innovate in the crate, your humor department will Intern as far as the advertisement backgrounder, education in a unique way, your Human Resources will be perplexed about how work will be accomplished first, and will speak with more expertise in the questions, benefits, and to whom, for what.
